Assistant Practice Manager (2IC)

An exciting opportunity has become available for an Assistant Practice Manager / Second in Charge (2IC) to join Medsana Medical Clinic.

About the role:

The Assistant Practice Manager / Second in Charge (2IC) is part of the reception team and supports the Practice Manager with staff management, developing the reception and nursing team, supporting the delivery of quality customer service to doctors and their patients, rostering, and in maintaining Accreditation. The 2IC ensures that the practice runs smoothly when the Practice Manager is absent.

Reporting to the Practice Manager, the role will encompass the following responsibilities:

  • Support the Practice Manager with managing the performance of the admin team and general administrative processes
  • Development of admin team to ensure a client service culture
  • Ensure process and systems are in accordance with National Standards for Accreditation
  • Assist the Practice Manager in the Accreditation process
  • Foster professional working relationship with team members, patients and medical staff
  • Welcome and assist patients with enquiries and appointments
  • Answer and respond to telephone enquiries in a courteous and professional manner
  • Accurately process patient payments via cash, eftpos, HICAPS and direct bill transactions
  • Ensure the accurate storage and retrieval of patient and practice records
  • At all times maintain confidentiality of patient personal and financial information
  • Support the provision of accurate and timely financial and practice data
  • Coordinate, manage and maintain a safe, healthy and professional workplace.
  • Maintain policy and procedures to align with professional standards, clinical guidelines and practice values.
  • Ensure practice records and data is accurate and reported in a timely manner.
  • Manage staff rosters and schedules and ensure the operational and administrative requirements are met to an exceptional standard.
  • Assist the Practice Manager with implementing initiatives and promotions to improve centre performance
  • Maintain cleanliness of reception area and clinic rooms
  • Support the provision of accurate and timely financial and practice data

Key Skills/Background:

  • Previous medical clinic experience
  • Good understanding of clinical operations within a healthcare practice
  • Ability to innovate new procedures and processes
  • Understanding of business operations in practice
  • Exceptional customer service and teamwork skills
  • Commitment to ethical behaviour and conduct
  • Excellent verbal and written communication skills
  • Proven multi-tasking, problem solving and time management skills
  • Ability to empathise with patients
  • Previous experience in the utilisation of Best Practice Medical Software
  • Previous leadership, supervisory experience in a General Practice environment is desirable
  • Cross-cultural awareness and willingness to travel overseas if required
  • Experience with AGPAL accreditation desired
  • Experience with NDIS preferred but not required
